I think the organising team should keep a blog during the event, aggregated on the relevant planets. You don't have to sit there and bang out long epistles, but just short observations, links to photos, witty asides, whatever. Helps keep everyone feeling involved. Would also help drum up excitement and whatnot in the leadup to the conference.
