Morning/Afternoon Tea
- Tea
- Herbal options
- Milk
- Sugar
- Stirring implement
- Cups
- Foam cups or crockery?
- Coffee
- As per tea
- Juice
- Plastic cups or glasses?
- Soft drink
- Plastic cups or glasses?
- Biscuits/muffins/scones?
- Paper plates or crockery?
- Food/Drink considerations around and in the theatres need to be checked
- Should all be set up at least 10 mins before break time
- Should we provide icecream tokens (as done by Perth)? - Kim
- Maybe we could hit up T2/Jaspers, and buy a ton of good tea and coffee, instead of the shit that usually gets doled out (it really is horrendous). If we bought in extreme bulk, it wouldn't make a huge difference to the budget, but people would really notice it.
Saturday Lunch
- Traditionally this has been pizza (as many lunch venues near the conf tend to be closed on a weekend)
- Started by Tridge at CALU
- Cef's old Vectra stank of pizza till it died
- Lately pizza places have been delivering
- Quantity of pizzas pretty much requires buying from multiple sites and multiple vendors (also provides variety)
- Need to make sure that people with special dietary requirements (allergies/vegan/vege/etc) get taken care of
- Organise this near the conf, but NOT on the day of the lunch
- Give them lots of notice (eg: at least 3-4 days) - gives them time to organise more people on the day
- Follow-up the day before and on the day
- Delivery should be 5-10 mins before the break
- Organise an actual drop-off point for the pizza
- Perhaps provide maps of venue to pizza delivery places and mark the drop-off point
- Started by Tridge at CALU
- Drinks need to be provided as well
- Plastic containers with ice to keep drinks cold?
- Soft drink (cans)
- Water (bottles)
- Juice (bottles or tetra-paks)
- Plastic containers with ice to keep drinks cold?
- SDRs we'll likely encounter:
- Vegetarian/vegan (relatively easy, but vegan -> no cheese)
- Lactose-intolerant (difficult, but not impossible)
- Dairy-intolerant (in extreme cases, this means nothing fried with butter, etc)
- Halal/kosher (non-trivial, but doable)
- Gluten-intolerant (hrrrrrmmmmm ...)
- Allergies to nuts, eggs, you name it (nuts are easy, eggs are a little bit harder)
Lunches/Dinners in general
- Check out local places for Lunch/Dinner (on and off-campus) to put in the LocalGuide
- Local businesses need to be informed, particularly if they're listed in the LocalGuide
- Give them details (including flyers) and positive attendance numbers closer to the date
- Check if they will give conference attendees a discount
Dinner/After Dinner activities
- Remember that people will travel further from the conf as they don't have to come back by a specific time
- May tend to center around accomodation rather than conf venue
- Remember to include pubs, bars, clubs, etc (see LocalGuide#After_Dinner_activities).
